Each German exhibition city has its own hotel market, traffic pattern and venue logistics. The notes below summarise what experienced exhibitors take into account when committing rooms, coaches and staff for a major fair. They are the same considerations we work through with every client during the first planning call.
Hannover Messe is the largest industrial trade fair in the world and effectively books out every hotel within a 60-kilometre radius of the city. Rates inside the Stadtbahn ring multiply during fair weeks, private apartments and pensions sell out months in advance, and overflow guests are routinely sent to Hildesheim, Celle, Wolfsburg and even Braunschweig. We hold dedicated contingents at partner hotels close to the Messe-Ost and Messe-Nord entrances and operate scheduled coach shuttles from outlying hotels so groups still reach the booth before doors open. Trains from the main station to Messe/Laatzen run every few minutes during fairs, but a coordinated transfer is faster for groups carrying display material.
Düsseldorf hosts MEDICA, drupa, K, INTERPACK, ProWein and dozens of niche shows in a venue that sits directly on the Rhine. Hotel demand spreads across the Altstadt, the Königsallee corridor, the airport area and across the river in Neuss and Oberkassel. During the largest fairs we recommend booking on the Messe side of the Rhine to avoid bridge congestion in the morning peak. Airport access is unusually convenient — Düsseldorf International is twelve minutes from the venue by S-Bahn — which makes one-day visits feasible if flights are booked early.
Munich's Messe München (Riem) and the older venue at the MOC handle Bauma, ISPO, productronica, IFAT, electronica and the Oktoberfest overflow. Hotel inventory is split between the city centre, the Messestadt districts next to the venue and the suburbs along the U2 line. Bauma in particular is one of the tightest hotel markets in Europe — three-year lead times are common. We prioritise hotels with direct U-Bahn access to Messestadt-West/Ost so groups avoid the morning car traffic on the A94.
Messe Frankfurt is among the largest venues in the world by floor space and runs Automechanika, Light + Building, the Frankfurt Book Fair, Ambiente, ISH and Formnext. The city's central location makes it a natural hub for international visitors, but hotel demand also spikes during banking conferences unrelated to the fair calendar. We split groups between hotels in the Bahnhofsviertel for walking access to the West entrance, and the Ostend / Sachsenhausen districts when central availability tightens.
Koelnmesse hosts Anuga, IDS, gamescom, imm cologne, photokina and INTERMOT directly across the Rhine from the cathedral. The venue is a ten-minute walk from Köln Messe/Deutz station, which is one ICE stop from the main station. We frequently place groups on the Deutz side of the river to walk to the halls and keep coach movements simple. During gamescom, family hotels in Bonn and Leverkusen are realistic fallbacks when the city centre is full.
Messe Stuttgart sits next to the airport, which dictates the hotel strategy: airport hotels are walkable to the halls, city-centre hotels require either the S2/S3 S-Bahn or a coach. AMB, Intergastra, R+T and CMT drive the heaviest demand. For AMB and similar industrial fairs we usually contract a mix of airport hotels for engineers arriving by flight and Stadtmitte hotels for management arriving by ICE at the Hauptbahnhof.

For major fairs in Hanover, Düsseldorf, Munich, Frankfurt, Cologne and Stuttgart, six to nine months of lead time is ideal. Hotel inventory inside the city ring is contracted out very early, and the closer you book to opening day, the further from the venue your group is likely to sleep. We can still help at short notice — but earlier planning means better locations, fairer rates and properly coordinated coach and transfer logistics.

It begins with a planning call to capture group size, budget and priorities, then moves into hotel sourcing and contracting, transfer scheduling (airport pickups, venue shuttles, evening returns), optional booth staff and interpreters, on-site coordination during the fair, and a debrief afterwards. You stay focused on the booth, the leads and the meetings — operational details are handled in the background.
Hotel and coach rates are passed through with full transparency; our service fee for coordination is stated separately in every proposal. Group rates depend on the fair, the dates and how early we contract — committing earlier almost always yields measurably lower per-room and per-vehicle costs. Cancellation and amendment policies follow the supplier terms and are summarised in the offer so there are no surprises.
